Results and Assessments
eBECAS handles results for Language and VET and Higher Education enrollments.
- Enter initial test results upon student arrival
- Language results are entered by date for the enrollment, so progress can be monitored

- Assign statuses to academic modules such as, not studied, class assigned, commenced, completed, withdrawn etc.
- Language results have a flexible structure and are fully customisable. This means that language colleges can specifically design the result structure for their college.
- Academic results are also customisable and can have a hierarchical structure. With this design, results are structured and organised.
- Modules can be assigned different status’s, so that staff are aware of a students intended action towards a module. This also helps staff find and allocate students waiting to study modules.
The purpose of this section of the manual is to provide you with assistance in the storage and reporting of Language and Academic Results.
eBECAS results enables you to:
- Enter entrance test scores, progress details and final test scores
- Print certificates individually or in bulk
- Print progressive results in bulk, which are needed to track progress on scholarships for Saudi students.
Language Results have a flexible structure. Multiple Language Results can be stored for each Student enrollment by date with different assessment types (Listening, Reading, Speaking, Comprehension etc).
Often initial test results are entered upon arrival, prior to the student’s class assignment. Language Results then generally entered every 4-5 weeks to keep track of the student’s progress.
I will illustrate two ways that Colleges use eBECAS to enter results. One is using by Result Groups and Result codes (typically used for language results) and the other method is by using a combination of result types and custom fields (typically used for academic results).
The result groups may be Reading, Listening, Speaking and Writing.
Language Result Codes are entered and displayed for a result group. For example, below you can see all the results codes for the result group of Reading.

Language Enrolment results are displayed in Screen 1.3, in the Results tab. A simple result entry could look like this:

When updating this information for a Student Enrolment, you will be presented with a page to enter the Language Result details. This page is shown below. Please note that the type of result is specified with the eBECAS date (date result entry published), English level, Teacher, Effort and Attendance percentage.

Note the Type of result is specified with the eBECAS Date (of result entry published) English level, Teacher, effort and attendance percentage for that result is manually entered. Entering the result codes and date in the Language Result details will display the relevant result groups.
A student certificate can be printed, which details what each result code represents.
Language Custom fields and Result types
We also provide the facility to specify different types of Language Results. This allows you to associate different types of results with specific combinations of custom result fields.
An example of a Language Result Type may be associating Entrance, EAP and General English with tests such as IELTS or TOEFL.
The Language custom fields are simple text fields. Below are some examples of the named custom fields that you can specify. If you do not specify the result type for a custom field, than all result types will include that custom field. However, if you do specify a result type, then only that result type will display that custom field for entry. In the below example, on an IELTS result type will display the IELTS custom field.
Selecting the Result type as General English will display only the non-specific result type custom fields.
Selecting the Result type as IELTS, displays the non-specific result type custom fields and the specified IELTS fields. If all result codes have defined result types, then only those custom fields selected for the result type will be shown.

Academic Results are subject/module based and are stored for each Student Enrolment.
In setup, usually each Academic course (VET and Foundation) lists the subjects/modules that need to be completed successfully for the course to be completed. When a student enrols in a course (offer is accepted), the subjects listed as belonging to that course are automatically listed for the Student Enrolment as waiting to be studied. Subjects/Modules can be added and removed to tailor the subjects to the student needs, wants and electives.
It is also important to recognize that the subjects/modules Results and Classes are different. The results are what the student obtained as a result in siting for an exam or test. The classes are details of when, where and who is teaching what.
Both Student Enrolment Results and Classes are listed in the Enrolment Details screen in the tabs Results and Classes. After creating the Student Enrolment, the Results for each subject are listed as Not Studied and the Classes are listed as Un-allocated. To assign classes please see here.
Once a student has been assigned to classes and has had results entered, their results tab will look similar to this:
Entering an individual student result
Usually, results are entered by Class see here. However, you can manually enter a result for a subject. To do this, highlight the subject/module and select from the left menu Result – Modify.
You can then select the Grade from the drop down list (Grades would have been previously entered in eBECAS – Utilities – Setup Configuration – Academic – Result Codes.) Grades can be set as C – Competent, NC – not Competent or NYC not yet complete. Alternatively, you can set more traditional grades such as HD – High Distinction, D – Distinction, C – Credit, P – Pass etc. The Mark field is an integer field so you can enter a number that can be read as a percentage.
The Start and Finish dates are usually entered automatically when the Class is allocated. The period in which the module is studied within the course period is also automatically indicated. Entering a mark, the start and end dates or attendance is not compulsory. Attendance is automatically calculated for the subject and absence can be marked by subject.
The Status must be updated, options are: Not Studied, Class Assigned, Commenced, Completed, Withdrawn and Recognised prior Learning. The status of Not Studied is used to find and allocate students who are waiting to study subjects/modules.
