The purpose of this section of the manual is to provide you with details regarding how to set up and manage Study Tour Groups in eBECAS.

Study Tour Groups

eBECAS allows you to identify which students have been sent to the college directly and which students have been sent via an agent. You are able to create groups in eBECAS for students that share a common characteristic or simply are already together in a preformed group. An example of a group may be a study tour from a Japanese secondary school. You are able to provide multiple offers and create multiple enrolments for the same group. Students in a group are added to eBECAS and can be invoiced by group or by student.

From the main menu, you can search by Group name. If you search for a group name and it does not exist, you can add a new Study Tour Group.

Each group includes group name, a group contact address & phone number, a fax & email address, group airport transfer details, group homestay arrangements and a group diary.

Each group can have multiple offers and group enrollment details. This means that over several years, there may be many group enrollment details and offers that are all stored together. A group offer is a planning and quoting tool. Once an offer is accepted, the relevant debtors are entered in financials and the group enrollment is generated. A student who is a member of a group can also have their financial details entered separately and be invoiced individually rather than with the group they are apart of.

Typically the exchange between a Group and a College will involve one or many offers before a final offer is accepted and a Group Enrolment is created. We suggest that if an offer is significantly changed, the old offer is cancelled and a new offer is entered. By keeping this history, you to have a record of the negotiations.

Offer Details

A group offer lists courses, insurance, accommodation placement, accommodation, airport transfer and other fees. The maximum number of students for the group can be specified.

There are a number of tools that are created specifically for the group course offer item. One of these is the student multiplier, which multiplies the weekly course cost by the number of weeks and number of students so that you can generate a quote that represents the total for a group.
